Challenge.

Growtivation is a well-established UK supplier serving the building, landscaping and horticultural sectors.

The business manages a broad and growing product portfolio, including its own branded ranges, and supplies both national and regional merchants across the UK. Its sourcing network extends across international markets, supporting a supply chain that has steadily expanded alongside the company’s growth.

As transaction volumes increased and the business continued to develop new product lines and supplier relationships, operational complexity also grew. Core processes had gradually evolved around spreadsheets and disconnected systems. While these approaches had supported the business effectively in earlier stages, they were becoming increasingly difficult to manage as the organisation scaled.

The leadership team recognised that the existing approach limited visibility across the operation and introduced unnecessary risk into day-to-day decision-making. The business needed stronger control over stock, purchasing and financial performance, along with a more reliable foundation for future growth. Some key operational challenges had become increasingly apparent:

Limited Stock Visibility Across the Supply Chain

Inventory information sat across multiple files and systems, making it difficult for teams to maintain a consistent view of stock availability, incoming deliveries and order commitments. Warehouse, purchasing and sales teams often relied on manual reconciliation to confirm inventory positions, which slowed decision-making and increased the risk of errors.

Manual Rebate and Margin Management

Customer rebate arrangements and pricing structures required significant manual oversight. As the volume of transactions increased, managing these calculations outside an integrated system created additional administrative workload and the potential for margin leakage.

Fragmented Financial and Operational Reporting

Financial reporting required consolidation from several different sources. Preparing accurate performance reports and forecasts took considerable time and reduced the leadership team’s ability to analyse trends and respond quickly to changing demand.

Growth Ambitions Without Scalable Infrastructure

Growtivation had clear ambitions to expand further through e-commerce, export development and continued product innovation. Achieving these goals required a modern cloud-based ERP platform capable of integrating finance, stock control, warehouse operations, purchasing and sales within a single system.

To support the next phase of growth, the company needed a structured approach to selecting and implementing a scalable ERP solution.

Solution.

Optimum PPS partnered with Growtivation to guide the organisation through a full ERP transformation programme.

This included detailed requirements gathering, a structured ERP system selection process and the implementation of a cloud-based ERP platform designed to support long-term growth.

The approach provided the leadership team with independent guidance and a clear framework for making informed decisions at each stage of the project.

Structured Requirements Gathering

Optimum began by facilitating cross-functional workshops across the organisation. These sessions involved stakeholders from finance, warehouse operations, purchasing, sales and management reporting.

The workshops mapped how processes worked across the business and identified the operational challenges teams experienced in their day-to-day activities. From this discovery phase, Optimum developed a comprehensive catalogue of system requirements that captured both current needs and future ambitions.

Key functional areas included:

  • Finance and financial reporting
  • Warehouse management and stock control
  • Purchasing and supplier management
  • Sales order processing
  • Customer rebate and pricing structures
  • Management reporting and performance analysis

This process created a clear and prioritised requirements framework, ensuring that any ERP solution would be evaluated against real operational needs rather than generic system capabilities.

Independent ERP System Selection

With requirements defined, Optimum guided Growtivation through a structured ERP system selection process designed to ensure that every decision was based on operational fit and long-term value. The evaluation process included:

  • A detailed request for proposal (RFP) tailored to the company’s supply chain and distribution operations
  • Scenario-based demonstration scripts built around real business transactions
  • A transparent scoring framework that allowed systems to be assessed consistently
  • Facilitated evaluation workshops involving key stakeholders

Each vendor demonstrated how its platform would manage core processes such as inventory movements, purchasing workflows, rebate management and financial reporting.

Following this structured evaluation, Acumatica was selected as the preferred solution. The platform offered the flexibility, integrated warehouse capability and cloud architecture needed to support Growtivation’s future development.

End-to-End ERP Implementation

Optimum continued to support the project through the full implementation phase, providing continuity from system selection through to go-live.

Working alongside the implementation partner and internal teams, Optimum helped coordinate the programme across design, configuration, testing and deployment. This included:

  • Detailed solution design aligned to future operational processes
  • Configuration of finance, purchasing, warehouse management and sales modules
  • Data cleansing and structured migration from legacy systems
  • User acceptance testing based on real operational scenarios
  • A controlled cutover plan leading to system go-live

This structured implementation approach reduced delivery risk and helped teams gain confidence in the new platform ahead of launch.

Deliverables.

Throughout the programme, Optimum PPS provided a structured set of outputs designed to maintain clarity, governance and accountability across the project.

ERP Requirements and Selection Documentation

The discovery and selection phases produced a comprehensive set of decision-support materials, including:

  • A detailed requirements catalogue capturing operational needs across all departments
  • Formal RFP documentation issued to shortlisted suppliers
  • Structured demonstration scripts reflecting real business scenarios
  • A transparent scoring framework to evaluate each solution
  • A supplier comparison report supporting the final board decision

These outputs ensured the ERP system selection process remained structured, transparent and aligned with the company’s operational priorities.

Solution Design and Implementation Documentation

During the implementation phase, Optimum supported the development of key project outputs that documented how the new ERP platform would operate across the organisation. These included:

  • Future-state process design documentation
  • Data migration plans and validation controls
  • User testing scripts and sign-off documentation
  • A detailed cutover and go-live plan

Together, these deliverables provided the framework needed to implement the system in a controlled and well-governed manner.

Project Governance and Programme Management

Optimum provided project management throughout the programme, helping to maintain alignment between stakeholders, vendors and internal teams. Responsibilities included:

  • Project timeline management and milestone tracking
  • Risk identification and mitigation planning
  • Stakeholder coordination across departments
  • Board-level reporting and progress updates
  • Vendor liaison and delivery oversight

This governance structure ensured the project remained aligned with its objectives and progressed according to plan.

Benefits.

The implementation of a cloud-based ERP platform has strengthened visibility, control and operational efficiency across the Growtivation business.

A Single Source of Truth Across the Organisation

Growtivation now operates with a unified ERP platform that integrates finance, stock management, purchasing and sales activity. Teams across the organisation work from the same data, creating a consistent and reliable view of operational performance.

Improved Inventory and Warehouse Control

Integrated stock management provides real-time visibility of inventory levels, incoming deliveries and order commitments. This allows warehouse and purchasing teams to manage stock more effectively and maintain strong service levels for customers.

Stronger Financial Oversight and Reporting

Financial and operational data now sit within the same system, simplifying reporting processes and improving the accuracy of performance analysis. Leadership has clearer insight into margins, purchasing activity and overall business performance.

Reduced Administrative Effort

The introduction of integrated workflows has reduced reliance on spreadsheets and manual data entry. Many routine tasks are now handled within the ERP system, allowing teams to focus more time on higher-value activities.

A Platform Ready for Future Growth

The new cloud ERP platform provides the digital foundation needed to support Growtivation’s future ambitions. The system can support ecommerce integration, export expansion and continued product growth as the business evolves.
