People. Process. Systems.

Penumbra, an Edinburgh based mental health charity, were embarking on a new Digital Transformation project to replace their old, non-integrated systems with the objective of enhancing the staff’s ability to ‘work on the go’ and to improve the inter-departmental connectivity.

Most importantly, the new solution needed to harness the new system’s features to provide the users with the ability to deliver an even better service to its supported persons; assisting & guiding them through their journey to recovery. Optimum PPS were engaged to assist the organisation in articulating their current operational issues and improvement opportunities, and to put together a blueprint and roadmap based on our knowledge of the charity sector’s best practices.

Using our proven Blueprint methodology, we guided Penumbra by taking a customer vision and business led approach rather than technology led; constructing a comprehensive path to meet the future organisational objectives with regards to their People, Process & System needs.

This involved laying out the best practices with which their priorities could be met and producing a target business operational model, which was based on deep understanding and insight into the needs of the users & their supported persons. This was followed by a robust ERP system selection process for a new technology solution.

  • As Is v To Be: Analysis of current operational issues and identification of improved To Be across People, Process & Systems
  • Creation of target operational model based on our knowledge of the charity sector’s best practices
  • Creation of process flows to capture all future operations according to industry standards
  • Setting up clear objectives which are measurable and achievable in order to be able to clearly anticipate & evaluate change implications
  • Successful tender & selection process of new ERP solution

  • The organisation now possess a clear blueprint and roadmap to enable it to meet their digital transformation objectives
  • A cross-departmental consensus on a new and holistic mode of operation to position the organisation as sector leader in quality of service provision
    and efficient operations
  • Creation of process flows to capture all future operations according to industry standards
  • Whilst operating in a challenging sector, the team is now confident of its ability to meet any future challenges with a much clearer grasp on how to go about the change journey
  • Engaging the team & stakeholders throughout the process facilitated an energised & enthusiastic approach to change

“Optimum PPS were chosen to help us develop a plan and process for replacing and improving our end to end IT systems and ways of working. They listened carefully to our needs, met with and interviewed a range of staff. Developed a blueprint and roadmap and tested the market. They met all their timelines and deliverables and kept us focused over a three month period and delivered an outcome we are really happy with. Thank you Optimum!”
